How it works

Three steps from upload to signed.

1

Upload a PDF or Word document

Drag in a contract, NDA or agreement, as a PDF or a Word file.

2

Review detected fields

Docnez suggests signature, name, title and date fields, plus optional initials on every page.

3

Send the link

Your signer signs on phone or desktop. You get the signed PDF and certificate.

Security and record-keeping

What Docnez does today to protect and prove your documents.

HTTPS everywhere

Docnez and every signing link are served over encrypted HTTPS connections.

AES-256 encryption at rest

Uploaded documents and other stored files are encrypted at rest with AES-256-GCM.

Optional per-signer access codes

Add an access code for a signer. The code is never put in the email; five wrong tries lock the link for 15 minutes.

Certificate of completion

Uploads, link issuance, views, consent, signatures and completion are logged with time and IP address, and summarized in a certificate at the end of every signed PDF.

Sealed with a digital certificate

Every completed PDF is sealed with a Docnez digital certificate. Any later change to the file breaks the seal, and PDF readers can show the signature details.

Tamper-evident audit trail

Each audit entry is linked to the one before it by a SHA-256 hash, and the final record is signed, so edited or deleted entries are detected. The public Verify page checks the seal, the file’s hash and the audit trail.

Single-use signing links

Once a document is signed, its link cannot be used to sign again. Links expire after a set period.

Two-step sign-in

Account owners and teammates can turn on authenticator-app two-step sign-in.

Frequently asked questions

Is Docnez free?

Yes. Docnez is free right now: 7 documents a month, up to 3 people per workspace, no card required. Paid plans are coming soon.

Can I upload Word documents, or only PDFs?

Both. Upload a PDF or a Word document (.docx, .doc, .odt or .rtf, up to 20 MB). Docnez turns a Word file into a PDF, finds the signature and date lines for you to confirm, and your signers sign that PDF. Check the converted pages before you send; if a complex layout shifts, save it as a PDF from Word and upload that instead.

Do signers need an account?

No. Signers open the link you send and sign in their browser, on phone or desktop.

Do I need to register?

Yes. Create a free account and confirm your email address to start sending. The people who sign your documents do not need an account.

When will paid plans be available?

Paid plans are coming soon. Until then there is nothing to pay and we do not collect payment details.

How can someone check a signed PDF?

Anyone can upload a signed PDF to the Verify page to check it matches the file Docnez finalized.
